Updated June 9, 2020: COVID-19 Refund Policy Update
To allow for more flexibility, we've updated our cancellation and refund policy through the end of 2020 so that if you can no longer attend a Getaway trip and your cancellation is more than 30 days prior to the start of your trip, we will be able to hold your entire trip payment in the form of a credit to be put toward a future Getaway within the next 24 months, with no additional costs.
General Refund Policy
If your plans change and you need to cancel your Getaway trip, please make sure to notify our team as soon as possible by emailing info@bikeout.co.
If the date of your request is more than 90 days before the start of your trip, we can transfer all paid trip funds to another Getaway within the next year at no additional cost.
If it is less than or exactly 90 days before the start of your trip, any changes will be considered a cancellation and we will be able to offer a refund based on the following schedule:
Please note that if you choose to pay for your trip over time using our partner processor Affirm, your trip will be refunded at the rates listed above but any interest paid to Affirm is non-refundable. You can read more about Affirm’s cancellation policy here.
Trip Insurance
We recommend that riders who are concerned about how COVID-19 will impact their trip consider purchasing trip insurance to protect their investment. Trip insurance can help cover things like trip cancellation, travel delays, and medical emergencies as a result of COVID-19. Please make sure to read each policy carefully to understand coverage related to COVID-19.
We've added more flexibility to our cancellation policy and we're providing more transparency for how we’ll handle trip cancellations during this ongoing health crisis.
Each week, we update an internal dashboard that collects data from national, state and local authorities informed by guidance on safe business reopenings in the U.S. We believe that a safe reopening requires that local coronavirus case counts are trending downward, sufficient local testing and contact tracing is taking place and there is availability of intensive care units at local hospitals. Our data sources are transparently provided on each Bikeout trip page. Additionally, we regularly review the CDC’s COVID-19 travel advisory to understand how our trips are affected.
We’ll determine final eligibility 30 days before a trip departs. If we deem a trip incompatible with public health recommendations, we’ll cancel the trip accordingly. Bikeout reserves the right to cancel a trip at any time pending review of this criteria.
If Bikeout needs to cancel or postpone a trip because of public health concerns during the 2020 season, we will hold your entire trip payment in the form of a credit to be put toward a future Getaway within the next 24 months.
Updated April 29, 2020: Bikeout is indefinitely postponing all planned 2020 large group Festival events in response to the global COVID-19 health crisis. If you purchased a ticket to a Bikeout large group Festival event this year, we issued everyone full refunds in May. Please contact us with any questions at info@bikeout.co.
Tickets sales for a Bikeout Festivals are non-refundable and final. However, if you are no longer able to attend your ride the following options are available to you:
Transfer your ticket to a friend or new rider. Do this by emailing their name, email, and phone to info@bikeout.co. Please note that transfers are not complete until new rider has signed their Bikeout waiver and you have received email confirmation from our team. Bikeout is not responsible for any payments made between riders. The latest you can transfer a ticket is 7 days before the start of a ride.
Transfer your ticket to another Bikeout Festival experience. If you can no longer attend your Festival and it is greater than 60 days before the first day of the ride, we can transfer your ticket to another Festival experience within the next year at no additional cost. If it is fewer than 60 days before the first day of the ride, you will need to pay a transfer fee of $25 per ticket to confirm your new ride. The latest you can transfer your Bikeout ticket to a new ride is 7 days before the start of your original Bikeout.
Bikeout ticket transfers are subject to ticket availability and the discretion of our team. If applicable, you will be expected to pay the difference in ticket price between your original ride and the new ride. Any questions or concerns can be directed to info@bikeout.co.
We value the participation of each member of Bikeout and want all attendees to have an enjoyable and fulfilling experience. Accordingly, all attendees are expected to show respect and courtesy to other attendees throughout the event. To make clear what is expected, all attendees, sponsors, partners and volunteers of Bikeout are required to conform to the following Code of Conduct.
The Short Version
Bikeout is dedicated to providing a harassment-free experience for everyone, regardless of gender, sexual orientation, ability, physical appearance, body size, race, or religion. We do not tolerate harassment of participants in any form.
Be kind to others. Do not insult or put down other attendees. Remember that harassment and sexist, racist, or exclusionary jokes are not appropriate for Bikeout. Attendees violating these rules may be asked to leave the event without a refund at the sole discretion of the organizers.

The Long Version
Harassment includes offensive verbal comments related to gender, sexual orientation, ability, physical appearance, body size, race, religion, sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of event activities, inappropriate physical contact, and unwelcome sexual attention.
Participants asked to stop any harassing behavior are expected to comply immediately.
Be careful in the words that you choose. Remember that sexist, racist, and other exclusionary jokes can be offensive to those around you. Excessive swearing and offensive jokes are not appropriate.
If a participant engages in behavior that violates this code of conduct, the event organizers may take any action they deem appropriate, including warning the offender or expulsion from an event with no refund.
The event organizers also reserve the right to remove any attendee without a refund if that attendee endangers herself or other participants in regard to safety, health or any reason that could effect the success of the event for other attendees.

Affirm loan-application process steps:
1. At checkout, choose Pay with Affirm.
2. Affirm prompts you to enter a few pieces of information: Name, email, mobile phone number, date of birth, and the last four digits of your social security number. This information must be consistent and your own.
3. To ensure that you're the person making the purchase, Affirm sends a text message to your cell phone with a unique authorization code.
4. Enter the authorization code into the application form. Within a few seconds, Affirm notifies you of the loan amount you're approved for, the interest rate, and the number of months you have to pay off your loan. You have the option to pay off your loan over three, six, or twelve months. Affirm states the amount of your fixed, monthly payments and the total amount of interest you'll pay over the course of the loan.
5. To accept Affirm's financing offer, click Confirm Loan and you're done.
After your purchase, you'll receive monthly email and SMS reminders about your upcoming payments. You can also set up autopay to avoid missing a payment. Your first monthly payment is due 30 days from the date that we (the merchant) processes your order.

Our Guides are for the exclusive use of Bikeout customers that have paid for access or have otherwise been given permission for use. Guide users should not share their password or access with unauthorized users. Copying, printing or unauthorized sharing of a Bikeout Guide can result in the termination of your access to our content. If you plan to use Bikeout Guide for group travel, we recommend the person planning the trip have exclusive access to our Guide.
Refund Policy

Privacy
Partners who sponsor the development of a Bikeout Guide may have access to the data we have collected as a result of a digital guide purchase including customer First Name, Last Name, Zip code and email address.
Indemnification
By using a Bikeout Guide (“Platform”), you discharge and release Bikeout LLC, its organizers, agents, boards, officers, subsidiaries, affiliates, contractors, subcontractors, owners, volunteers, and employees and all other persons who are involved in any way with Bikeout (“Discharged Persons”), from any and all present and/or future liability, whether known or unknown and accrued or not, including but not limited to liabilities, suits or demands for property damage or personal injury, including but not limited to wrongful death arising out of or connected in any way with my use of the Platform, whether or not caused by the negligence of any of the above parties or however they may arise (collectively, the “Claims”).
By purchasing access to the Platform, you voluntarily and completely for yourself, your heirs, executors, administrators and assigns, or any other person or entity claiming by or through you or any of the foregoing waive and release any and all Claims you may have or which may accrue to you as a result of your use of the Platform. You further agree to indemnify and hold harmless the Discharged Persons from and for any and all damages of any kind relating to such Claims and arising as a result of your use of the Platform no matter wherever, whenever, or however such Claims may arise. By registering for or using the Platform, you accept that you have read, fully understand that you are choosing to undertake and assume voluntarily all risks associated with the use of the Platform, whether or not those risks involve falling, collision with other bicyclists, moving vehicles, or stationary objects, risks relating in any way to the facts and circumstances of my health and/or the condition of all equipment and facilities and the route.
